Outsourced Project Quality Management

External quality management support for projects that need a dedicated person or team to coordinate quality without the need to build a full internal department.

Local inspectors remain close to production and construction activities, while we coordinate the overall quality process, including inspections, documentation, reporting, and preparation of the project for final acceptance.

When outsourced Quality makes sense

  • The project is being carried out across multiple locations or by multiple suppliers.
  • Local inspectors provide reports, but there is no single person or team responsible for consolidating information and overseeing the overall quality process.
  • Project management is losing time tracking documentation, non-conformities, and quality-related progress.
  • The company does not want to build a large, permanent quality control team for a temporary project.
  • The scale of the project and the risks associated with final acceptance require a single point of coordination for documentation, quality control, and preparation for acceptance.

Operating model

The client’s inspectors, contractors, and local partners carry out the agreed activities on site and provide the results. We verify the information received, monitor progress, highlight issues requiring action, and provide project management with one consistent overview of the overall quality status across the entire project.

What we can take over

  • Coordination of project quality activities and preparation of consolidated reports.
  • Oversight of welding activities and inspections, including verification of the reports received.
  • Monitoring the inspection and test plan (ITP) and the status of required inspection points.
  • Monitoring non-conformities, inspection findings, and actions required for their closure.
  • Review of material documentation and its traceability to project components.
  • Oversight of the completeness and organization of quality documentation.
  • Verification of documentation readiness for project close-out and preparation of a complete package for final acceptance.
  • Coordination of local inspectors within the agreed scope of work.

Deliverables and management rhythm

The scope of support is tailored to the specific needs of each project. We maintain registers of documentation and open issues, monitor their status, prepare regular progress reports, and highlight matters requiring attention or management decisions.

We also monitor the completeness of the documentation required for project close-out and final acceptance. Reporting frequency and the way of working together are agreed upon before the work begins.

What the client is buying

We do not sell inspector hours. Our clients receive external support in coordinating project quality, faster access to up-to-date information, a clear allocation of responsibilities, and control over what still needs to be completed before final acceptance.

Our role is to help move the project from the execution stage to a complete, well-organized documentation package that is fully prepared for final acceptance.

Responsibility boundaries and governance

Before the work begins, we agree on the scope of responsibilities, decision-making procedures, required documents and information, reporting frequency, and the process for escalating issues requiring action.

Responsibility for the project remains with the client and the respective contractors, in accordance with their contractual obligations. Our support does not replace the formal authorizations or responsibilities of a notified body, independent inspector, designer, or contractor where their involvement is required.

How we start

We typically begin with an audit of the project’s current status. Based on the findings, we define the scope of our support, the way we will work with local inspectors, the reporting requirements, and the allocation of responsibilities.

This approach allows external support to be introduced without losing control over the project’s progress.
